HelloJapan is an app and website that helps Vietnamese users and other foreign nationals prepare for work and daily life in Japan through job information, learning content, contract checklists, money tools, and consultation guidance. This policy explains how HelloJapan handles user data.

Data Stored on the User's Device

HelloJapan may store the following data locally on the user's device: selected language, saved jobs, learning progress, checklist status, selected learning videos, exchange-rate cache, public-holiday cache, game progress, and optional consultation notes.

Consultation notes are designed to remain on the user's device. Users should not enter personal, sensitive, or confidential information such as passport numbers, residence-card numbers, salary slips, workplace names, bank account information, or private chat screenshots into the notes field.

Data Sent Outside the Device

Account registration and cloud progress sync are optional. If a user creates an account, the email address and authentication information are processed by Firebase Authentication. Passwords are handled by Firebase and are not available to the HelloJapan operator in plain text. HelloJapan stores the Firebase user ID and selected app progress in Cloud Firestore so that the same progress can be used on the web and Android versions.

Cloud-synced progress may include saved jobs, completed lessons, quiz answers, checklist status, manga reading status, selected learning content, game progress, player name entered in the game, and game audio settings. Consultation notes, contract-check text, salary inputs, and money-calculation inputs are not included in cloud sync and remain on the user's device.

HelloJapan does not use advertising or analytics tracking in this Firebase integration. The app also retrieves publicly available or operator-provided data from the internet, including job data, education video data, exchange-rate data, public-holiday data, and linked official web pages.

Advertising, Cookies, and Similar Technologies

The HelloJapan website uses Google AdSense to display advertisements. Third-party vendors, including Google, may place or read cookies on a visitor's browser or use web beacons, IP addresses, and other identifiers as a result of ad serving. These technologies may be used to deliver and measure ads, limit repeated ads, prevent fraud, and personalize advertising where permitted and consented to.

Use of Data

Locally stored data keeps app preferences, saved content, learning progress, game progress, and notes available on the user's device. When a user chooses to sign in, the email address and Firebase user ID identify that account, and the cloud progress data is used only to back up and synchronize progress between the user's devices. Internet data is used to keep job information, learning content, exchange rates, and holiday information up to date.

Sharing of Personal Data

HelloJapan does not sell personal data. Account and cloud progress data are processed by Google Firebase to provide authentication and synchronization. HelloJapan does not intentionally send consultation notes or contract and money-tool inputs to Firebase. Users may choose to open external services such as YouTube, LINE OpenChat, or official job pages; data handling on those services is governed by each service's own policy.

Security

HelloJapan is designed to minimize collection of personal information. Cloud Firestore access rules restrict each progress document to the authenticated user with the matching Firebase user ID. Local storage remains available as an offline cache. Users should use a unique password and avoid entering personal, sensitive, or confidential information into local notes, the game player-name field, or community spaces.

Retention and Deletion

Locally stored data remains on the user's device until the user clears browser/app storage, resets the app, or uninstalls the app. Cloud progress remains in Firebase while the user's account exists. The user can open the account screen in HelloJapan and delete the Firebase account and its cloud progress. This operation does not automatically erase the local copy on the device; local data can be removed by clearing browser/app storage or uninstalling the app. Consultation notes are not part of the Firebase account data.

Children

HelloJapan is intended for users preparing for employment, study, or daily life in Japan. It is not designed for children.

Changes to This Policy

This policy may be updated when HelloJapan adds new features or changes how data is handled. The latest version will be published on this page.
